FREQUENTLY ASKED QUESTIONS

To ensure that your visit to Whadjuk Country and the experience of the conference is as enjoyable as possible, here is a list of Frequently Asked Questions which will hopefully provide you with all the information you need.

We encourage you to read through this before you attend. Please contact us if you have a question that we haven’t answered.


LOCATION

Whadjuk Country

Whadjuk is the name of the dialectal group from the Boorloo (Perth) area. Whadjuk is situated south of Yued and north of the Pinjarup dialectal groups.

Venue Parking

Self-Parking is $25 per car for overnight parking / Valet Parking and EV(Electric Vehicle Charge) is $35 per car for overnight parking.

Maximum vehicle height is 1.9m.

AT THE CONFERENCE

Dress Codes

Casual Business attire is suitable for conference sessions.

Dress codes for the social functions can each be found on our Social Functions page.

Registration Desk

Open hours and desk location will be shared closer to the date.

Accessibility

Rendezvous is equipped with a front entrance ramp and an accessible elevator to access each floor.

Public areas are accessible and accessible hotel rooms are available upon request.

Program Changes

See the latest version of the program on the website and Mobile App. Any changes to the program during the event will be announced during housekeeping notices each morning. You may also check with staff at the registration desk.

Photographs / Recording

Delegates are not permitted to use any type of camera or recording device at any of the sessions unless written permission has been obtained from the relevant speaker and from AIDA. 

A photographer will be at the conference, if you have any issues with being photographed, please notify the photographer.

Dietary Requirements

If you have advised us of any special dietary requirements during the registration process, the caterers at each function have been provided this information. 

A special buffet table will be set during the day catering breaks for special diets. If you are unsure, please see the venue staff.

Free WiFi

Free wireless internet access is available for the duration of the conference. The password and login details will be available at the registration desk.

Security

The Working Group, organisers and AIDA accept no liability for personal accident of loss or damage suffered by any participant, accompanying person, invited observer or any other person by whatever means. Nor do we accept liability for any equipment or software brought to the conference by delegates, speakers, sponsors or any other party. Please protect your personal property.

Insurance

Registration fees do not include insurance of any kind. It is recommended that delegates take out their own general travel insurance. It is suggested that the insurance policy should also cover loss of fees/deposit, airfares, accommodation charges, medical expenses, loss or damage to personal property and repatriation expenses.

No responsibility is taken by the conference managers or AIDA for any person not holding insurance.

In-Person / Virtual

The conference is offered as an in-person event only.


No sessions will be offered virtually, and all presenters must present in-person.

Mobile App

A Mobile App will be released to download for iOS and Android through the App Stores. 


The app contains all the information with regards to the conference and the program. If you have difficulties downloading/navigating the app, please see the staff at the registration desk.

Late Registrations

Registrations will be open until the conference begins, and onsite registration is welcomed.

Registration will only close if tickets sell out.

Volunteering

Funded student and JMO delegates will fill volunteering roles where required.


Volunteer tickets are not available.

SPEAKERS AND CHAIRPERSONS

Chairpersons

Chairpersons will receive an email prior to the conference, reminding them of their responsibilities. 

If you are a chairperson and do not receive this, or have additional questions, please contact the event organisers or see the registration desk if you have questions. 

Speakers

All speakers must visit the Speakers Preparation Room, at least two hours prior to their scheduled presentation time, to upload their presentation deck, to test and modify your slides within the AV Techs. 

All presentations need to be 16:9 in ratio.

Speakers must be present in their sessions room at least 5-minutes before the session starts.

ACCOMMODATION

Rooms Booked through the AIDA Group

If you are a funded delegate, keynote speaker, Board member or have been specifically advised that AIDA has taken care of your accommodation booking, you will be part of the group block at Rendezvous.

Rooms Booked by Delegates

Delegates are responsible for booking and managing their own individual accommodation booking.
